This Privacy Policy explains what information The Hideout ("we," "us," or "our") collects when you use our community website and our Discord bot, Hideout Assistant, and how we use and protect it. By using our website or interacting with our Discord server, you agree to this policy.

1. Information We Collect

• Discord account information. When you log in with Discord, we receive your Discord user ID, username, global display name, avatar, and your roles and membership in our Discord server. We request the identify, guilds, and guilds.members.read scopes. We do not request or store your email address.
• Steam ID (optional). If you choose to link your Steam account, we store your SteamID and public profile name/avatar.
• In-game character data. To show you your own dashboard, we read your linked in-game character information (such as character names, jobs, playtime, and balances) from our game server database. This is shown only to you as the account owner.
• Discord server data (via the bot). To operate community features, the bot accesses members and their roles, online/offline status (presence), and — for moderation — message content in our server, as described in Section 3.
• Content you submit. Support tickets, applications, and messages you send to our on-site AI assistant, along with any information you include in them.
• Technical data. A session cookie to keep you logged in, and basic server logs (such as IP address and request time) used for security and reliability.

2. How We Use Your Information

• Authenticate you and display your personal dashboard.
• Build and display our staff roster and determine staff access levels based on Discord roles.
• Receive, route, and respond to your support tickets and applications.
• Provide AI-assisted support that answers your questions and escalates to human staff when needed.
• Show whether staff are currently online for live support (presence).
• Moderate our Discord server and enforce our community rules.
• Process store purchases and deliver purchased items.
• Maintain the security, integrity, and reliability of our services.

3. Discord Data

Our use of information obtained through Discord complies with the Discord Developer Terms of Service and Developer Policy. Specifically:

• Members & roles are used to build the staff roster, map website permissions, and route tickets/applications to the correct staff.
• Presence (online status) is used only to display a live "staff online" indicator. It is held in memory to reflect the current moment and is not logged or retained.
• Message content is processed in real time for moderation (detecting prohibited content and flagging rule violations to staff) and is not used for any other purpose.

4. How We Share Information

We do not sell your information. We share it only with the service providers needed to run our services, and only as necessary:

• Discord — authentication and community features.
• Anthropic — powers our AI assistant; your question text is sent to generate a response.
• Tebex — processes store purchases and payments. Payment card details are handled by Tebex/its payment processors; we do not store them.
• Steam — only if you choose to link your Steam account.

We may also disclose information where required by law or to protect the safety, rights, or property of our community and its members.

5. Data Retention

We keep account and profile data for as long as your account is active or as needed to provide our services. Support tickets and applications are retained for our records and moderation history. Presence data is never stored. Cached member/role data is transient and refreshed from Discord. You may request deletion of your account data as described below.

6. Your Choices & Rights

• Log out at any time to end your session.
• Unlink Steam from your dashboard.
• Request access or deletion of your personal data by contacting us (Section 9).
• You can revoke the website's Discord access at any time in your Discord Authorized Apps settings.

7. Cookies

We use a single essential session cookie to keep you signed in. We do not use advertising or third-party tracking cookies.

8. Children

Our services are not directed to anyone under 13, and you must meet Discord's minimum age requirement for your region to use them. If we learn we have collected data from a child under the applicable age, we will delete it.
